This Privacy Policy explains how TalkRight ("TalkRight", "we", "us") handles information in connection with the TalkRight website, product demos, sales and support communications, and the TalkRight platform used by healthcare clinics and operators. It may be updated from time to time as the platform, integrations, and customer configurations evolve.

TalkRight provides healthcare communication software, including the EVA AI receptionist and AI call center, helping clinics manage inbound calls, receptionist assistance, autonomous call handling, patient communication workflows, appointment-related messaging, and operational reporting.

Scope

This policy covers:

  • visitors to talkright.net and related TalkRight web properties;
  • prospects and individuals who request demos, pricing, or other sales or support information;
  • clinic staff and authorized users who access the TalkRight platform;
  • information processed through TalkRight on behalf of clinic and healthcare customers.

Website, Demos, And Contact Information

When you visit the TalkRight website, request a demo, contact sales or support, or otherwise communicate with us, we may process information you provide, such as your name, work email, phone number, clinic or company name, role, country, and the contents of your message. We use this information to respond to your request, schedule demos, send relevant follow-ups, and improve our marketing and sales operations.

The TalkRight website may also collect standard technical information such as IP address, device and browser information, referring pages, pages viewed, and general usage information, including through cookies and similar technologies. This information is used in aggregate for security, performance, troubleshooting, analytics, and to maintain and improve the website. We aim to use such technologies in a proportionate way and do not use them to build detailed advertising profiles of individuals.

Information Processed Through The Platform

Depending on how a clinic configures TalkRight, the platform may process:

  • patient name, phone number, and contact details;
  • appointment requests and booking details;
  • call metadata such as call time, caller number, route mode, call status, and duration;
  • call transcripts, summaries, recordings, or notes where enabled by the clinic;
  • staff user accounts, clinic roles, permissions, and audit logs;
  • communication delivery metadata for supported messaging, email, telephony, and voice channels;
  • technical and security logs needed for reliability, monitoring, and troubleshooting.

TalkRight is not the clinic's electronic health record. Where TalkRight connects to an EHR, hospital system, telephony system, messaging platform, or other clinic system, the clinic remains responsible for the authoritative medical record unless agreed otherwise in writing.

How We Use Information

We process information to:

  • provide, operate, secure, support, monitor, troubleshoot, improve, and administer the TalkRight website and platform;
  • route and manage patient communications and appointment-related workflows;
  • support EVA Assist and EVA Autonomous workflows configured by the customer;
  • help receptionists and clinic staff capture patient intent and appointment-related details;
  • produce call reports, audit logs, dashboards, and operational summaries;
  • support customer configurations and integrations with clinic systems such as telephony, EHR, calendar, messaging, email, and other configured clinic systems;
  • respond to sales, demo, support, billing, and account inquiries;
  • protect TalkRight, customers, and end users from misuse, fraud, abuse, or security threats;
  • comply with applicable contracts, customer instructions, and legal or regulatory obligations.

Security, Data Residency, And Third-Party Service Providers

TalkRight maintains administrative, technical, and organizational controls designed to protect information processed through the platform. More information is available on our Security and Data Residency pages.

To deliver the service, TalkRight relies on third-party service providers acting as subprocessors, including hosting providers, communications providers, and other integration providers that support specific workflows. A general overview is available on the Subprocessors page.

Retention

Retention periods depend on the clinic's configuration, the type of information, regulatory requirements, and contractual terms. Clinics may configure, where supported, whether recordings, transcripts, summaries, and other workflow records are retained, minimized, or disabled for specific workflows.

Customer Responsibility

Clinics and other healthcare customers act as the controller of their clinical records and patient communications. Customers are responsible for clinical records, providing required notices and obtaining required consents from patients and staff (including for recording, transcription, messaging, and AI-assisted workflows), defining the lawful basis for processing, and complying with their own regulatory and professional obligations.

Patient And End-User Requests

Patients and other end users should generally contact their clinic or healthcare provider for access, correction, deletion, or other privacy requests relating to clinical records or patient communications. Clinics and customers may contact TalkRight at the address below for platform-level privacy requests, including requests to support a customer in responding to its own end users.

Changes

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, through additional notice.
